Admin Assistant – Shropshire Council

Salary: £10

Fulltime: 37 hours

Job Purpose:

To provide administrative support to the Service Manager, Principal IRO and to the Independent Chairs/Independent Reviewing Officers.

To complete administrative work related to Child Protection Conferences and Looked After Children Reviews.

To maintain the details of missing people and Risky adult information. To undertake checks for Probation, CAFCASS and Ofsted.

Key Responsibilities:

Responsible to the Admin Services Co-ordinator who is in turn responsible for the post holder’s health and safety, training and development

Main Duties:

The post holder will form part of the administrative support team accountable to the Service Manager and will report on a day to day basis to the Admin Services Co- Ordinator.

The post holder will provide secretarial and administrative support to the Service Manager and Independent Reviewing Officers.

Principal Duties and Responsibilities

Arranging Initial Child Looked After Reviews, including preparation of papers for meetings and routine follow up action, including the distribution of minutes and recommendations within required timescales. Quality assurance of such minutes and recommendations, editing documents where necessary to ensure protection of vulnerable children’s welfare and safety and team compliance with information governance protocols.

Scanning and uploading various documentation onto children’s files.

Undertaking word processing and typing activities accurately and to required deadlines.

Regularly undertaking Ofsted checks and liaising directly with Ofsted to provide information about prospective childminders and childcare providers.

To assist in the collection, collation and production of key statistics and other management information using appropriate I.T. skills. Where necessary, liaising with the IRO’s and reporting to Management.

Instituting/creating new spreadsheets and other data collection methods, ensuring that they are kept regularly updated and shared with Senior Management.

Attending Amnesty Days and LCS workshops, advising on changes that need to be made to the system and forms.

Supporting IROs/Social Workers/Senior Managers with system troubleshooting issues, liaising with the Management information team to resolve issues promptly and to ensure that meetings and documentation are kept within statutory timescales.

Providing IRO’s and Senior Managers with up to date Looked After Caseload information and assisting in the allocation of newly Looked After Children to ensure every child has an allocated Independent Reviewing Officer (IRO).

Regularly checking timescales of Child Looked After Reviews – advising IROs/Social Workers/Senior Managers when necessary.

Arranging cover for CLA Reviews if IRO is absent from work, ensuring timescales are adhered to and all parties are informed of the changes in a timely manner. This includes re-booking venues and sending out invitations and any other appropriate documentation.

Occasional minuting of Child Looked After Reviews, or any other meetings within Children’s Services as may be required.

Investigating issues around overdue CLA Reviews on the Managers Matrix and reporting the reasons to Senior Management, resolving these independently where possible.

Responsible for informing agencies and professionals of any placement changes or newly Looked After Children, following up with Social Workers for required documentation, if not provided.

Accountable and entrusted for all aspects of the administration in relation to CLA cases.

Receiving callers, both in person and on the telephone and ensuring that all callers are dealt with in an efficient and helpful manner.  If necessary, taking details of enquiries/complaints and ensuring that these are dealt with quickly and effectively.

Dealing with incoming mail, prioritising and providing routine responses as appropriate.

To develop an understanding and awareness of issues related to equal opportunities and anti-discriminatory practice and to demonstrate this in carrying out your duties.

To undertake routine general office duties.

To comply with safe systems of work in accordance with the Directorate’s Health, Safety and Welfare Policies and Procedures.

The post holder may be required from time to time to undertake other duties not specifically mentioned on this job description.

Responsible for promoting continuing personal and professional/vocational development of self through staff development processes.
