Admin Officer – Hackney (Temp Vacancy)

Umbrella Pay Rate: £19.00ph

***Part-Time (25 hours)***

Job Purpose:

  • Manage the administrative functions required for effective delivery of Healthy Early Years Hackney programme which includes maintaining the project plan and databases and ensuring effective management of time and resources.
  • Support operational/administrative aspects of the Healthy Early Years Hackney programme
  • To contribute to the development/editing of high quality communication materials, data reports and presentations

Accountabilities:  

  • Manage the Healthy Early Years Hackney programme inbox which serves as the first point of contact for enquiries
  • To provide online e.g. Google Meet, email and telephone support to the range of early years providers so that they can navigate the many online materials available and access resources and training to meet the requirements of the Healthy Early Years awards.
  • Review, prioritise, monitor and disseminate all internal and external enquiries & correspondence (including, but not limited to telephone calls, post, emails, reports and other written information).
  • Ensure all enquiries are dealt with in an efficient, timely and, as appropriate, confidential manner.
  • To undertake additional or other duties as may be appropriate to achieve the objectives of the post and as directed and deemed appropriate by the Line Manager
  • To oversee the preparation and organisation of high quality multi-agency training events to include: booking venues, booking speakers, designing invites, overseeing the booking and registration process and contributing to presentation materials.
  • To keep professionally updated on all aspects of the Healthy Early Years Hackney programme and develop a broad understanding of the needs of service users
  • Collate activity data to produce reports/briefings as required for both internal and external clients. These high quality reports will contribute to effective evaluation of the service.
  • Identify new methods of communication to reach the target audiences.
  • Be responsible for maintaining a number of databases which are central to the effective functioning of the programme.
  • Support with diary management (programmer lead(s)..
  • Organise meetings including; the timely completion of agenda’s, minutes and other related documents to ensure the meetings are effective and actions are followed through.
