Administration – Bolton Council

Salary: £10

Full-Time (37 hours)

Job Description:

Perform administrative duties including relating to a multi-agency task group, setting up meetings, liaising with external agencies, managing group inbox, preparing agendas, minuting large multiagency and internal meetings, following up meeting actions and other ad hoc duties as required to support the task group.

Duties:

Competencies to NVQ Level 3 standard

Detailed knowledge of systems relevant to on field of work

Proven analytical and problem solving capability

Proven communication and interpersonal skills

Proven staff management and supervisory skills

Financial training sufficient to manage budgets

Knowledge of specialist area and/or broad range of Council processes

Initiative and judgement when solutions are not obvious

Management of an administrative team including responsibility for recruitment, development and performance management

Overseeing resources and contribution to the resource planning process

May have delegated responsibility for a budget where appropriate

Attendance at internal and external meetings to ensure that departmental/work issues are represented appropriately

Responsibility for monitoring and maintaining records/reports to meet internal and external requirements

Providing advice and recommendations within own work area

Contribution to organising short- or medium-term process changes

May lead assignment teams of a short-term nature and contribute to Council-wide projects

Stock control of office supplies and other service-specific stock items

Requirement:

Competencies to NVQ Level 4 standard

Direct managerial track record

Project management skills

Broad understanding of related work area including awareness of the current and future priorities

Authoritative knowledge of the specialist work area and/or relevant professional guidelines

Proven analytical and problem-solving capability across a broad range of management functions

Proven high level communication skills including influencing and negotiation

Experience of managing and controlling budgets

 Identification of additional service requirements or service shortfalls and co-ordinate/design solutions

Planning and organisation of individual and/or team activity with an appreciation of longer-term issues, ensuring plans complement and feed into broader strategies

Project management of business support activities to facilitate service/policy/operational improvements with broad organisational impact

Management and monitoring of resources within allocated area to ensure maximum value is delivered

Representation and promotion of the work area at internal and external meetings

Management/supervision of a large team of staff or a small number of specialists to ensure the successful delivery of a significant service area

Act as a mentor/coach to colleagues

May be considered the “specialist” in a specific area, gained through substantial experience and possibly training in principles underpinning the area of work
