Derbyshire County Council – Personal Assistant

Location: County Hall, Matlock, Derbyshire, DE4 3AG

Contract: Initial contract to 31st October 2021 with possible further extension.

Hours: Part Time 3 Days a Week – 9:00am to 5:00pm.

Payrate: £8.91 an Hour

Description:

A proactive personal assistant to support the Director of Finance and ICT who is also a member of the Corporate Management Team.

Responsibilities:

Provide the main point of contact for the Director of Finance and ICT acting as a filter for issues/problems, resolving most issues in person or via direct contact with senior staff to provide effective support and problem resolution. 

Proactively monitor the Director’s correspondence to ensure that any necessary/outstanding actions are identified, tracked and addressed to ensure all deadlines are met. 

Responsible for the effective management of the electronic diary of the Director, assessing priority of appointments and reallocation, as necessary. 

Co-ordinate departmental and other meetings; providing administrative support and minute taking as required, ensuring that any action points are followed up. 

Processing and evaluating incoming mail; initiating responses as appropriate and highlighting issues for further investigation to support decision making. 

Perform detailed manipulation, analysis/evaluation of information or workflow processes, highlighting issues for further investigation and preparing reports to support decision making. 

Strengthen operational efficiency and quality of service in the area through maintaining, and implementing improvements to, procedures, processes and ICT systems including the department’s EDRM system. 

Processing of financial information including standing orders, ensuring that finances are appropriately and efficiently monitored for the team. 

Prepare confidential documents, reports and other materials as required, including preparing and co-ordinating reports for Cabinet. 

Build and sustain relationships with internal colleagues and service users to resolve issues and to ensure the needs of the service and service users are met. 

Maintain confidentiality and observe data protection guidelines at all times.

Carry out any other reasonable duties within the overall function, commensurate with the grading and level of responsibility.

Provide cover for other PAs as required.
