Finance & HR Officer – West Acton (Temp Vacancy)

Umbrella Pay Rate: £16.95ph  

Full-Time (37 hours)

Job Purpose:

  • To provide Finance & HR administration for the schools within the Trust
  • To support the Trust Finance & IT Manager to maintain the asset register for the schools ensuring new acquisitions and disposals are reported correctly
  • To ensure that financial transactions are within determined budgets and correct procedures for procurement are followed.
  • To support the Trust Human Resources (HR) Manager with HR administration in the schools, ensuring consistent processes are adhered to.

Accountabilities:  

  • Undertake daily finance functions in accordance with Financial Regulations:
  • Purchase order input from approved requisitions
  • Ensure invoices are processed on time, ensuring correct coding in line with Trust accounting systems and budgets
  • Investigate discrepancies with suppliers/contractors
  • Supplier BACS payment processing
  • Administration of all expenditure and payment processes ensuring compliance with Trust policies and HMRC requirements for expenses
  • Administration of all income and receipts processes ensuring completeness of income against invoices issued, and recorded in line with budgets
  • Bank any monies received by the school
  • Registration and administration of Childcare voucher providers, entering income into Trust’s financial system
  • Follow financial procedures regarding large value orders and ensure value for money
  • With support from Finance & IT Manager, provide financial reports as required
  • Process RPA claims
  • Responsible for approved P-card expenditure and monthly reconciliations are completed
  • Provide information and reports for Audit as required
  • Responsible for maintaining records for staff absence; sickness, appointments, annual leave and ensuring all required documentation is completed and recorded
  • Undertake the administration for recruitment, ensuring that all required documentation is received and processed correctly.
  • Set up new employees on Schools Information Management System including creating and sending new contracts to HR
  • Process contract changes/terminations for existing staff in a timely manner
  • Maintain the Single Central Register for the schools
  • Processing of staff timesheets and input for payroll within determined deadlines
  • Check payroll information and investigate any queries, confirming to the Trust Executive Business
  • Manager when correct to process
  • Liaise with SCC Payroll regarding any payroll queries
  • Adherence to all HR and payroll deadlines
  • Support Trust HR Manager with any recruitment process
  • With support with Trust HR Manager, draft offer letters and send out required information to new staff
