Fleet Support Officer – Hackney (Temp Vacancy)

Umbrella Pay Rate: £17.00ph

Full-Time (37 hours)

Job Purpose:

  • To support the management of the Fleet Management Unit and Fleet Maintenance Centre with the core service drivers of legal compliance; safety; sustainability; financial efficiency and customer service.
  • As part of a support team, to provide a central point for all fleet related queries.
  • To assist the managers of the Fleet Management Unit to ensure all legal compliance issues are adhered to.
  • To operate the  Fleet Focus M5 fleet software system and assist with its ongoing development. Identify issues relating to vehicle maintenance records, activities, problems within the software through various reporting functions bringing issues identified to the appropriate fleet or service managers.
  • To assist in the identification and provision of ad-hoc training.
  • To input Fleet orders, procurements, invoices onto the Councils Financial System.
  • To support the Fleet Management Unit in the procurement of goods and services.

  • To undertake audits for fleet activity and legal compliance on a regular basis providing advice and guidance for minor non-compliance correction or referring serious non-compliance to senior fleet officers.
  • To fully utilise Fleet Focus M5 fleet software system and maintain vehicle files ensuring compliance documents are kept up to date.

Accountabilities:  

  • To actively consider new and innovative ways of doing things recognising and promoting the positive benefit of change to improve services and achieve goals.
  • To represent FMU in wider cross cutting initiatives and programmes implemented by the Council.
  • To provide a central point of contact for all council fleet users to respond to fleet, operating and finance queries. To provide legal and administration support to the FMU. To document and maintain vehicle paperwork systems adhering at all times to ’Operator Licence’ regulations.
  • To be responsible for the ordering and receipt of equipment and/or services (i.e tax discs, Loler certifications) required for the service.
  • To assist in all fleet related procurements
  • To maintain the asset list within  Fleet Focus M5 for the FMU, ensuring that a complete record of all vehicles held is updated on a regular basis.
  • To be politically sensitive and work across directorates in an equitable manner and to understand the corporate objectives.
  • To provide administration support to the Fleet Maintenance Centre as required.
