Job Description

Manchester – PA to Mayoral Team

Location: Churchgate House, Oxford Road, Manchester, M1 6EU

Contract: Initial six-month contract with further extensions

Hours: Full Time – Monday – Friday – 9-5

Payrate: £13.50 an hour

Description:

To provide PA and administrative support.

Qualified to Level 3 or above will require a Basic Disclosure check

Main Responsibilities

Managing diaries, including arranging meetings and appointments, ensuring both accuracy and that time is used effectively and appropriately.

Tracking and control of auditable documentation including contracts, official correspondence, authorisation forms, appraisals, etc. and ensuring such documentation is authorised with signatures as appropriate.

Ensuring that the supporting teams are aware of deadlines for papers/reports due to go to specific GMCA and relevant meetings

To receive visitors and act as an ambassador for the department

Arrange internal and external events as required.

Purchasing as necessary, invoice authorisation

Raising and processing of purchase orders, sales invoice requests and invoices, using the Business World On! system.

To work with members of the business support team, disseminating work as required and ensuring that cover is provided

Drafting of internal and external correspondence, including papers and reports in consultation with the Assistant Director of Governance & Scrutiny 

Data collection (including use of internet and research library) and analysis of information to inform the Executive and Assistant Directors in planning and decision making.

Summarising and disseminating information from reports, papers, journals, etc (as appropriate).

Production of accurate and succinct meeting notes that record key discussions and actions.

Co-ordination, collation and timely distribution of papers to relevant attendees.

Dealing with incoming mail, drafting responses to written enquiries, etc. and responding to enquiries as appropriate.

To provide timely and accurate information to support the Business Support Team

Arranging travel, accommodation and purchasing as required.

To manage outstanding issues as directed by the Assistant Director Governance & Scrutiny

Preparation of presentations/reports using MS PowerPoint and MS Excel.
