Job Description
4Recruitment Services are seeking to recruit a Resource Centre Assistant to provide secretarial and administrative support to our client based in Kendal.
Our clients service offers support to the young people, and the wider South Lakes community, with access to training, learning and enhanced social opportunities. The community resource centre on site has has a cybercafe, support groups, education and training opportunities.
The post is for 30 hours per week, Monday to Friday.
DUTIES AND RESPONSIBILITIES INCLUDE:
- Undertake administrative and secretarial support tasks including:
Ordering stationery, stock, resource and related supplies
Word processing / spreadsheets documents and reports
Setting up / maintaining filing systems, including computerised systems
Sorting and delivering incoming / outgoing post
Co-ordinating room booking and conferencing facilities
- Be responsible for the organising, setting up, clearing down of all meeting rooms, including cleaning of rooms and communal areas in the Foyers
- Actively seek new business opportunities to strengthen, enhance and widen the Foyer offer
- Assist with the delivery of new projects, including performance management and monitoring
- Utilise all specialist IT systems available for the service
- Assist with monitoring Foyer income and expenditure
- Assist with the organisation of South Lakes Foyers and wider Young People Services events
- Assist with/attending meetings and taking/producing minutes where appropriate
- Deal with the incoming and outgoing mail for the Young People’s Services and Foyer Teams
- Provide a professional reception service for customers and visitors to the Foyers, and deal with any telephone enquiries
- Co-ordinate catering for other Foyer events - banqueting and buffets
- Assist with the development, design and production of promotional materials, including displays and multi-media presentations
- Support Foyer residents to have a positive and enjoyable time at the Foyer
- Implement and support the development of groups within the Foyer and the Young People’s Services service
ESSENTIAL REQUIREMENTS:
- Previous administration experience
- Experience of working in a customer service office environment, providing a reception service and handling customer enquiries both in person and over the phone
- Knowledge of Microsoft Office applications particularly, Word (producing letters and reports), Excel (creating and maintaining databases and spreadsheets) and Outlook (sending emails and maintaining diaries)
- Ability to work on own initiative and as part of a team as required
- Excellent communication skills with the ability to communicate effectively with a wide range of people
- Competent level of literacy and numeracy
- Good standard of education, to GCSE level (or equivalent)
- Enhanced DBS Check
