Estates Officer (HOUSING) – Rugby

Salary: £ 15.70 Per Hour

Full Time: Monday to Friday – 09:00am to 17:00pm (37 Hrs Per Week)

Role Purpose:

Responsible for the day to day administration of the estates portfolio in accordance with our client’s asset management strategy and corporate priorities, values and aims of our client under the direction of the Property Manager.

To co-ordinate estates work across all service areas and portfolio’s and external stakeholder’s

To identify to the property manager any commercial opportunities on council owned land

To manage the specialist estates apprentice.

To manage property acquisitions and disposals as directed by the Property Manager.

Responsibilities:

  • To have a commercial approach to estates to achieve best value from the land holdings and property assets.
  • To be aware and up to date with estate management practice and apply these to our client’s portfolio.
  • To assist to appoint and manage external valuer’s and estates consultants for an efficient estates service delivery.
  • To assist in designing and implementing estate policies and procedures to suit our client’s objectives.
  • To co-ordinate internal and external stakeholders to deliver estates work to our client’s requirements.
  • To work with our client’s officers from all services and portfolio’s housing, legal services, maintenance, planning, finance, parks and recreation and project management teams, as required to deliver an efficient estates service.
  • To work with legal services in the preparation of legal documentation, ie terms of leases, licenses, easements etc.
  • To assist to manage estates risks and set up estates records.
  • Maintain and be responsible for property ownership date on the mapping system and produce plans when required.
  • To organise estates meetings and attend the asset management group when requested to report on estates work and performance data.
  • Answer day to day estates queries from members of the public and external customers and manage a register of these queries.
  • To ensure that estates files deeds and document control procedures are maintained and be responsible for estates data on assets management system.
  • Draft record and help prepare and present data, in various formats, to key stakeholders, including senior officers, elected members, consultants and contractors.
  • Liaise and co-ordinate with a range of RBC teams, members of the public external partners and consultees on estate matters.
  • Carry out research where required to support the planning and delivery of estates work.
  • Manage and action day to day estates queries and work and refer important decisions/ queries to the property manager.
