Devon County Council - Service Support Assistant

Location: 36 Market St, Newton Abbot TQ12 2RX (Newton Abbot Office) and Taw View, Civic Centre, North Walk, Barnstaple, Devon, EX31 1EE (Barnstaple Office)

Contract: Initial three-month contract to the 31st March 2021

Hours: Monday to Friday – 9:00am to 5:00pm

Payrate: £9.81 an Hour


Looking for Service Support Assistants to be based in Newton Abbot and Barnstaple. Home-working would be available but there would be a requirement to go into the office on occasion.

In this role you would be supporting the Children’s Social Work Teams and Managers with a full range of office and Service activities.

This will involve arranging and attending meetings, typing and producing relevant documentation and dealing with panel processes.

As this role is based within Children’s Social Care it is important that candidates are resilient to this subject matter.

Please note a DBS check will be required for this role.

Main duties and responsibilities:

To operate and maintain, with minimum supervision, a range of statutory, regulatory and corporate administrative business processes and systems, as required e.g.

typing and production of relevant documentation

arranging meetings

panel processes

Effect the smooth running of the office environment by undertaking a range of administrative tasks, supporting relevant processes and activities e.g.

scanning & filing documents running reports

supporting day-to day premise management tasks (H&S testing regime, reporting equipment faults)

issuing petty cash

issuing licences for skips and scaffolding

arranging travel and accommodation including, complex requirements for foreign travel

To process requisitions for goods and services, ensuring adherence to DCC financial regulations e.g.

ordering of stationery and maintaining stock control

travel and accommodation arrangements

mobile phones.

To adhere to the DCC ‘best practice’ approach when following business processes and internal working procedures

Data input to key IT systems and databases.

The organisation of designated meetings.

The attendance at, the taking and production of minutes of, designated meetings

Ensuring relevant staff and managers are properly prepared for meetings by the provision of all relevant papers, files, etc.

Text processing of reports, correspondence, agenda and minutes from a variety of media, including hard copy and audio files.

To receive and respond to incoming telephone calls and visitors (where applicable) and taking appropriate action and messages as required.

Support induction of new staff as required by Appointing Officers and other relevant Managers e.g. Business Support Manager.

To work flexibly and provide cover for other Business Support staff to ensure service priorities and workloads are maintained.
