Repairs Planner – Newham (Temp Vacancy)

Umbrella Pay Rate: £15.00ph

Full-Time (37 hours)

Job Purpose:

  • With your experience in repairs maintenance planning and scheduling and the ability to work on your own initiative, provide comprehensive and complex planning and scheduling and assist the LB Newham RMS Responsive Maintenance team to carry out its responsibilities in respect of residents’ repairs.
  • In collaboration with the Repairs Manager, ensure that your trade team of up to 20 operatives have well planned schedules for each day.
  • To provide constant logistical and administrative direction to the trade team operatives to ensure that they can maximise productivity, reduce non[1]productive time and minimise RMS carbon footprint.
  • To ensure all repair orders registered on Service Connects by the Repairs Contact Centre (RCC) are correctly described, assigned, appointed and completed on target to the residents’ satisfaction. 5. To provide assurance that RMS are managing the customer repair journeys, from raising of the repair order to job completion, and to ensure that the customer experience is positive and informed from start to finish.
  • Planning in the most cost effective, productive manner to maximise customer satisfaction, operative productivity and drive KPI performance.
  • To produce regular monthly reports on team performance from SC including productivity data, KPIs and statistics for the Repairs/Service Manager and senior management, in different formats, including Excel, Office Project, PowerPoint and MSWord.

Accountabilities:  

  • Working in collaboration with the Repairs Manager and Service Manager responsible for your trade teams, you will provide an excellent logistical and administrative service to the operatives in your team ensuring there are no barriers to them maximising their outputs through right first time/first time fix.
  • Manage the works order planning of your trade teams through Service Connects (SC), monitoring all the operative schedules in your teams to ensure that you organise and create schedules that allow them to be fully productive during the working day.
  • Monitoring attendance of your trade teams through SC, ensuring all operatives are logged into SC, and at their first place of work on their contractual start times, breaks are taken at the requisite times during the day, and all trade operatives in your team are safely signed off at the end of the working day.
  • Provide direction and assistance to your trade team operatives throughout the day ensuring they can maximise productivity and minimise non-productive time, travel time and reduce RMS carbon footprint.
  • Ability to interpret and re-diagnose repair orders raised by RCC to ensure the operatives are allocated correct orders equivalent to their trades/skill sets and the time allowances are appropriate to the tasks required.
  • Manage SC in the dynamic scheduling of the operatives schedules, monitoring the trade schedules through the day and carrying out effective manual intervention where required.
  • Work closely with RMS Stores to ensure van stocks, materials and plant on order by the team, but not immediately available, is coordinated, tracked and managed diligently.
  • Ensure all appointments are diarised and AM appointments attended by midday, and PM appointments attended by 4.00pm. Ensure any appointments not attended by 4.00pm are re-allocated to the OOH team to guarantee attendance.
  • Monitor the Emergency orders basket on an hourly basis to ensure all E priority order’s raised to your trade teams are picked up, allocated and attended within the contractual response times.
  • To produce regular monthly reports on team performance from SC including productivity data, KPIs and statistics for the Repairs/Service Manager and senior management, in different formats, including Excel, Office Project, PowerPoint and MSWord.
