Mid and West Wales Fire and Rescue Service - Clerical Assistant

Location: Earlswood Training Centre, Neath, Neath Port Talbot, SA10 6NG

Contract: Initial contract to 30th September 2021 with possible further extension.

Hours: Full Time 37 Hours a Week – 9:00am to 5:30pm – Monday to Friday

Payrate: £9.36 an Hour

Job Purpose:

To provide Administrative support to the Training Delivery Department and to attain the Department’s goals and further the achievement of the Organisation’s objectives.

Responsibilities:

To assist the Training Delivery Officers in the effective and efficient administration of the Department.

To use various computer applications to record and maintain records and provide management information and reports as and when required.

To liaise with County Commands and other Departments in the administration of training related activities.

To undertake filing duties with regards to training records held at the Training Delivery Department and general upkeep and updating of the filing system.

To undertake the administration of the Commercial Training Function which will include liaising with clients, making contact with potential clients,

sending out course information and joining instructions and passing on invoicing information to the Training Delivery Coordinator.

To administer the process of staff becoming LGV drivers. This will include liaising with staff and commands, liaising with the DVLA, booking theory tests and booking driving courses.

To administer the booking of accommodation for students and the booking of the Training Delivery vehicle fleet for staff and students.

Use all office machinery and equipment, including personal computing systems, photocopiers, desk top publishing and word processing.

To accurately record all messages either over the phone, by fax, E-mail or in person and ensuring these are passed on to the appropriate officer.

To assist the Training Delivery Officers in the distribution of training material.

To create Multimedia and e learning packages under the guidance of the Training Delivery Coordinator

Ordering and stock holding of stationery for the Training Section.

Any other duties reasonably falling within the purview of this post.
