Umbrella Rate: £14.00ph

Full-Time (37 hours)

Job Purpose:

As a proactive Property Assistant you will support the Compliance Team and deliver the operational duties of their service/business area. The post holder will work with colleagues across the organisation in line with KNH’s core behaviours and values and contribute to the delivery of the organisation’s purpose, vision and objectives.

The Asset Management Compliance Team is for responsible for a range of compliance-related services which ensure that KNH is compliant with regulations and legislation, including Asbestos, Fire Safety, Legionella and Disrepair, all of which to ensure that all KNH assets are safe and do not risk the health and wellbeing of KNH customers, employees and members of the public. A key component of the role will be to directly contribute to delivering high performance and continuous improvement within the service/business area in line with KNH’s Service Plans, Medium Term Financial Plan, the joint Delivery Plan and Kirklees Council’s key objectives to deliver a customer focused service. The Property Assistant – Compliance will work with colleagues across the organisation and with partners to ensure positive outcomes for the business and for KNH customers.

The Property Assistant - Compliance will provide a comprehensive support service that ensures a high standard of accuracy and efficiency, attention to detail, using initiative to meet the needs of a range of internal and external customers through specialist IT skills, organising, servicing and contributing to meetings, supporting events and a range of other compliance-related systems and processes.

The post holder will provide technical and administrative support in desktop activities and on site during survey and project delivery. Collection, collation and maintenance of critical asset data and a supporting role during the provision of reports will play a significant part in day to day activities. Technical development and progression is critically important to this role.

 

Accountabilities:

  • Providing support to the Compliance Team – report collation and data cleansing
  • Data collection, collation and maintenance of information
  • Work collaboratively with the Compliance Team and other Officers to monitor, analyse and deliver improvements across all relevant performance indicator areas in order to ensure ongoing compliance with regulations.
  • Prepare professional and clearly written communications to colleagues, partners and customers.
  • Create and maintain spreadsheets, and use them to provide management updates using appropriate functionality to cleanse, interrogate and interpret data to ensure accurate management information is available in a timely manner, in the appropriate format for the audience, for example creating tables and graphs for use within management reports;
  • Complete guided quality assurance checks of compliance-related reports received, and maintain quality assurance logs for reporting and contract management purposes.
  • Run daily/weekly/monthly reports from compliance systems to identify cyclical assessments required, format and issue to Technical Officers, and liaise with responsible officers to assist in assessment/action completion.
  • Ensure enquires are responded to sensitively and resolved appropriately directing more complex calls to the appropriate Technical Officer.
  • Participate in team service reviews and service planning as required and ensure any arising individual actions are implemented.
  • Be a proactive and supportive team player and actively assist others to adapt and cope with change.
  • Contribute when required to the development of policies and processes across the organisation to ensure that high quality consistent services are delivered.
  • Act as an ambassador and a positive role model through the promotion of KNH’s purpose, vision, behaviours, achievements and successes.
